Procedure for contacting the Occupational Health Service (BHT)
The routine applies to assistance from the occupational health service.
Ordering
All orders to Avonova must be made in My booking (btb.tjenester.oslomet.no). NB - the prices stated for advisory services in "My Booking" are hourly rates, not prices per service delivery.
It's local HSE coordinators, local HR managers, HSE manager in Dept. HR and the HR director who are registered as contact persons with Avonova, and who can place orders for occupational health services/assistance.
Brief process description
- The need holder reports their needs to the local HSE coordinator or HR manager.
- The HSE coordinator enters the need in Avonova's customer portal (kundeportal.avonova.no), or clarifies the need with KAM on Avonova.
- The HSE coordinator creates an order in "My Booking". The reference number from Avonova must be stated there.
- The unit's orderer receives the order from the demand holder via "My Booking".
- The unit's orderer places the order in UBW, selects approver in UBW and sends order for approval to;
- Leader with BDM for BHT at faculty
- Head of Department at SVA
- The HR Director for the joint administrative units and for central orders
- The manager approves the order.
- The order goes to supplier Avonova.
Services/assistance with advance clarification
For services where you need to clarify what you actually need, the necessary scope and/or how this should be provided, all advisory services, as well as in cases concerning particularly sensitive personal data (datatilsynet.no), Avonova must be contacted for clarification before placing the order.
Local HSE coordinators, local HR managers and HSE manager in Dept. HR, as well as the HR director, are registered as contact persons who will assist with contact with Avonova.

Avonova/the customer portal creates a reference number for the assignment, which is to be used as a reference in the order.
Be aware of
- When booking psychologist appointments, the first treatment (consultation) is equal to 2 hours, further treatments are equal to 1.5 hours (this includes record keeping). If 3 treatments are to be ordered, you must register 5 hours (2+1.5+1.5).
- A workplace assessment is 3.5 hours. In other words, 3.5 hours must be registered in "My order"
- If an order/delivery is to be extended with more consultations, a new order must be placed in "My Booking", use the same Avonova reference number.
In My Booking
NB: Sensitive personal data (called special categories in the law) must not appear in the order form – see Datatilsynet.no about personal data.
- Choose order other items and services
- Add item: Select "Occupational health service"
- Item name: Select the desired service in the drop-down menu
- Product description: Provide the information that is necessary for Avonova to have in order to provide the service. All counselling services require advance clarification, contact KAM, BHT.
- The reference number from Avonova must always be stated.
- The amount must be stated, even if the reference number is stated.
- Which faculty/department in the joint administration/center, as well as the department at SVA.
- Building and office number – for the meeting/course
- Time of the meeting/course
- Name of the HSE coordinator/HR manager who fills out the online form.
- Number of units: Fill in how many units are ordered. NB - one treatment session with a psychologist or similar amounts to 2 hours at the first treatment session, further 1.5 hours, one workplace assessment amounts to 3.5 hours - see note above.
- Estimated price: It is the hourly rate that appears in the booking form in My booking - remember to multiply by the number of hours.
Follow-on
- After a workplace assessment, a report from the occupational health service is sent to the employee's immediate superior for further follow-up, as well as a copy to the employee.
- Reports from OHS must be placed on the employee's contact card.
