Procedure for contacting the Occupational Health Service (BHT)

All occupational health services must be purchased from Avonova in accordance with the framework agreement on occupational health services. All bookings must be made in "My booking".

The routine applies to assistance from the occupational health service.

Ordering

All orders to Avonova must be made in My booking (btb.tjenester.oslomet.no).

It's local HSE coordinators, local HR managers, head of HSE in Dept. HR and the HR director who are registered as contact persons with Avonova and who can place orders for OHS services/assistance.

Many services are "off the shelf", where you can order directly without contacting Avonova in advance – such as vaccines or first aid courses.

Brief process description

  1. The need holder reports their needs to the local HSE coordinator or HR manager.
  2. The HSE coordinator completes a call-off form specifying the need - NB: advisory services must be clarified in advance.
  3. The HSE coordinator creates an order in "My Booking".
  4. The unit's orderer receives the order from the demand holder via My Booking
  5. The device's orderer places the order in UBW, selects approver in UBW and sends order for approval to;
    1. Leader with BDM for BHT at faculty
    2. Instituttdirektør ved SVA
    3. The HR Director for the Joint Administrative Units and for Central Orders 
  6. The manager approves the order.
  7. The order goes to supplier Avonova.

Services/assistance with advance clarification

For services where you need to clarify what you actually need, the necessary scope and/or how this should be provided, all advisory services, as well as in cases concerning particularly sensitive personal data (datatilsynet.no), Avonova must be contacted for clarification before making the order. 

Local HSE coordinators, local HR managers and HSE supervisors in Dept. HR are registered as contact persons who will assist with contact with Avonova.

Beate.Nordvik@avonova.no is the key account manager (KAM) and contact person for both campuses.

Avonova will create a reference number for the assignment to be used as a reference in the order.

Call-off form

When ordering, Call-off form BHT Avonova (excel) must always be filled in and attached to the order. The form requires login. NB: My order" does not take excel files – the form must therefore be saved locally as a pdf file before it can be uploaded in My order.

In My Booking:

NB: Sensitive personal data (called special categories in the law) must not appear in the order form – see Datatilsynet.no about personal data.

  • Select Order other goods and services
  • Add item: Select "Occupational health service"
  • Product name: Select the desired service in the drop-down menu
  • Product description: Provide the information it is necessary for Avonova to have in order to provide the service. All counselling services require prior clarification, contact KAM Beate.Nordvik@avonova.no. The reference/offer number must be provided, and the amount must also be stated even if the reference number is provided.
    • The reference number from Avonova, and possibly:
    • Which faculty/department in the joint administration/centre
    • Building and office number – for the meeting/course
    • Time of the meeting/course
    • Name of the HSE coordinator/HR manager who fills out the online form.
  • Number of units: Fill in how many units are ordered.
  • Estimated price: This will be stated in the Deviation Form (Appendix) – use what appears there.
  • Upload a completed call-off form – remember pdf

Follow-on

  • After a workplace assessment, a report from the occupational health service is sent to the employee's immediate superior for further follow-up, as well as a copy to the employee.
  • Reports from OHS must be placed on the employee's contact card.
