Privacy policy for registration for mandatory and voluntary meetings

This privacy policy describes how OsloMet handles your personal data in connection with registration for mandatory and voluntary meetings, events and seminars at OsloMet.
  • What kinds of personal data do we register?

    Students, employees and external parties can register for meetings and events at OsloMet in various contexts.

    We then ask you to register the following personal data: name, address, workplace, position, email, phone number and various needs for accommodation (food, overnight stay).

    When you have registered, we will send you a confirmation by email if you wish.

    The information is stored until the event is completed.

  • Purpose and legal basis

    The purpose of the registration is that we have an overview of who is participating, can provide information to the participants, administrate and facilitate the event, and take care of you as a participant.

    Participation in mandatory events for employees follows from the employment agreement with you as an employee. The legal basis for mandatory events is therefore the GDPR Article 6 (1) (b) "agreement" for general personal data, and Article 6 (1) (a) "consent" and Article 9 (2) (a) "explicit consent" if health information also is processed.

    Participation in voluntary events is up to the individual.

    For events without catering, the legal basis is the GDPR Article 6 (1) (f), which allows us to process information that is necessary to ensure a legitimate interest when there is low privacy risk. The legitimate interests are to carry out the event in a good way for the participants.

    For meetings with catering or overnight stays, consent is required, as health information is often processed in connection with various catering and accommodation needs. The legal basis is then consent under the GDPR Article 6 (1) (a) "consent" and Article 9 (2) (a) "explicit consent" if health information is processed. Such consent is given by ticking the consent box in the registration form.

  • General processing at registration

    The information is collected from you and recorded in the UiO webform. Based on the recorded data, we can generate general reports with key information, such as the number of participants and various needs for accommodation.

    The information is stored in the UiO webform and deleted after the event is completed, no later than after 6 months.

    An overview of participants is sent to the order solution My Order, if food and/or drinks are to be ordered for the event. The purpose of this transmission is for the finance section to ensure that the regulations for the state's rates when ordering food and drinks are followed. Various needs for catering and accommodation are indicated in a de-identified manner.

    An overview of participants and various needs for accommodation is sent by encrypted email to the hotel and any other organizers responsible for accommodating the individual.

    Information on how the data is processed in the individual event, in addition to what is stated here, should be included in or be apparent from the registration form.

    You have the right to request access, rectification and deletion of the data registered about you.
